Switching to Microsoft 365 | First time setup with Microsoft 365

You will be provided by your Office Manager or IT Manager with your login details to access your new Microsoft Office 365 account. All accounts will come with an Online Web Version of Outlook, Word, Excel, and PowerPoint.


Required Apps

You will be required to download the following apps on your mobile device. 
The first App that is required is called Microsoft Authenticator. This will Authenticate you when you try to log in to your email from a different device. 
Please open the Apple App Store or Google Playstore on your device and search for it. It will look like this.

 
Once you have found it, download and install it. Do not open this yet.
The second App that is required is Microsoft Outlook. This will be used to read, view and send emails from your device.
Please open the Apple App Store or Google Playstore on your device and search for it. It will look like this.

 

Once you have found it, download and install it. Do not open this yet.
The next steps are where we will change your temporary password and create a new one.
You will be provided with a temp password to access your email. You will be required to log in to change the password before you set this up on any of your apps. Please do this step on a computer or Mac computer rather than trying to do it on your mobile device. One of the steps you’ll need to scan a QR code and it will be easier to do it from your computer or Mac computer.
With your login and password that was provided to you from your office manager or IT Manager, please to go https://login.microsoftonline.com/


 
Enter your full email address and the password provided to you. It must include @yourcompany.com example steve@mycompany.ca 

Then click on Next then enter the password. After you enter your temporary password you will see the window below, requesting you to update your password.


 
You will be asked to enter the temp password again, then create a new one. It must be different from the one supplied.
The next window that might pop up is to use the Microsoft Authenticator App to scan a QR code to secure your email. This is required moving forward. 
You will see a window like the one below.


 
You can skip it for now, but it will continue to pop up until you set it up. It would be best to complete this task and then you’ll be done.
Click on Next
After that, you will see the following screen.


 
The next part is where you will need the Authenticator app. Go back to your mobile device and open up that app for the next step.
 


You will be required to scan the QR code with the Microsoft Authenticator App.
 

After you have approved the QR code it will ask to verify the number with a text message to your mobile device. It will look like the screen below.

 
You can leave it at the United States +1. Enter your full mobile number including your area code then press Next in the bottom right. Then Microsoft will send you a text and then the window will change to the following.


 
Check for the text message from Microsoft then input the code where it says Enter Code.
Then click on next. After you click on next it should show the following screen.

Then click on Next then you should see the following screen.

Then click on Done. Then you can move on to setting up your email on other devices.
On your first login, you will see this window.


 
You should see an alert on your mobile device from the Microsoft Authenticator App.
You should see an alert like the following on your mobile device. It may differ depending on the phone you have.

 
Tap on where it says Approve sign-in? youremail@yourcompany.com
It will then open up the Microsoft Authenticator App on your mobile device and it will ask you to approve again.


 
Tap on Approve, the next step varies from phone to phone, but it might ask you for your fingerprinter or it might ask for Face ID to verify. Please allow this to happen then you will be completed.


After you have done this, you can set up the app on your mobile device and/or computer.

If you only want to use the web version of Outlook, you can go back to the same site to log in to your Outlook to send and receive emails. 
If we are converting you over to Microsoft 365, your old emails will be migrated from your old email server to the new email server. You might see email doubles and or be missing a couple of emails. Your emails will sync in full. This process can take between 1-3 days to complete. 
If you’re new to Microsoft 365 you will not see any new emails. 

Web Version of Office

When you log in you will be presented with the following screen. 

On the left-hand side is where the apps are located. The top left will pop out a window to show you all the apps with their full name
Here you will see them with the full name. Reminder these are only web versions of the apps.


 
If you move your mouse over them you will see a little option to click and open a new tab in your web browser to have multiple apps going at the same time.


 


Web Version – Outlook

When you click on Outlook you will be presented with a Window that will look like this.



 
You can see your Inbox, Drafts, Sent Items, Junk etc. 
To compose a new Message Click on the New message in the top left.
Mobile Version – Outlook

The Microsoft Outlook App will be your best option when using your email as it has everything built into the app that Microsoft releases. If a new feature comes out, it might not be available on the other apps.

Download the app for your device. If the links above, do not work for you. Go to your app store and search for Microsoft Outlook.

After you download the app it will ask you to supply your email address and password. Please enter your full email address and either the password that was supplied to you or the new password that you created. No other details will be needed. 



There was a new feature that was released in 2020 from Microsoft called Focused Inbox. Some people may not like this option. Please see the instructions below on how to disable this option.
Open the Microsoft Outlook App on your phone. In the top left, you will see an icon with a letter in it. It might be a letter with the first letter of your first name or last name.

Click on that.

 



Look for the gear in the bottom left.


 
Tap that

Then scroll down until you see Focused Inbox




Tap on it to disable it and it should look like this.
 
That will disable your Focused inbox





Outlook – Desktop Version

If you have a copy of Outlook already installed on your computer you can add your account to it.
If you are just setting up Outlook on your computer for the first time you will be presented with a login screen like the following


 
Enter your full email address then your password.

If you already have an account or switching from your old email to the new email you can simply add the new account to your outlook.

Go to File in the top left window of Outlook
 
Then on the next Window, you will see Add Account
 


Click on that and you will see the login window again like above.
 


Again, enter your full email address and your password.

Apple – Email

If you’re using iOS for your iPhone or iPad, please go to this link Office for iOS
Look for the Setup email with the iOS Mail app. Follow the steps provided there and you will have your email on in a couple of taps on your phone.

Android – Email
If you’re using Android and want to use the built-in email, please go to this link Set up email in Android email app
There are two options, Gmail App or Samsung Email App if you’re using a Samsung Phone.
